Chapter 01

The deal

Recolo records conversations you choose to record, writes them down, and turns them into a brain you can ask. In return we ask three things: record with consent, use it fairly, and pay for what you use.

A handshake above a table with a phone and the Dot
  • By using Recolo you agree to these terms and to the privacy policy, which is part of them.
  • Recolo means the iPhone, Android, Mac and Windows apps, the Recolo Dot and its app features, dashboard.recolomind.ai, recolomind.ai, and our connectors for Claude and ChatGPT.
  • We mean Recolo, operated from Bengaluru, India.
  • If you do not agree, do not use Recolo. You can delete your account at any moment and these terms end with it.
Read the full wording

These Terms of Use ("Terms") form a binding agreement between you and Recolo ("Recolo", "we", "us"), the operator of the Recolo applications for iOS, Android, macOS and Windows, the Recolo Dot hardware and its companion features, the web application at dashboard.recolomind.ai, the website at recolomind.ai, and the Recolo connectors for third-party assistants (together, the "Services"). By creating an account, installing an app, pairing a Dot or otherwise using the Services, you accept these Terms and the Privacy Policy at recolomind.ai/privacy, which is incorporated by reference. If you use the Services on behalf of an organisation, you confirm you have authority to bind it, and "you" includes it.

Where a chapter's plain-language summary and its full wording differ, the full wording governs.

Chapter 02

Who can use Recolo

Adults, with an account of their own, who look after that account.

A man holding a glowing glass box of notes
  • You are 18 or older and can enter a contract where you live.
  • One account, yours. Sign in with Google or an emailed code. Do not share it; tell us at once if someone else gets in.
  • True details. Give us a real name and a working email address so we can reach you about your data.
  • Not available everywhere. Where the law does not allow a service like Recolo, we cannot offer it.
Read the full wording

2.1 Eligibility

You must be at least 18 years old (or the age of majority where you live, if higher) and legally able to enter a binding contract. Recolo is not directed at children, and you must not use it to record children except your own in a private setting with the consent the law requires.

2.2 Your account

You are responsible for everything done through your account and for keeping your sign-in method secure. Notify us at contact@recolomind.ai immediately of any unauthorised use. We may suspend an account we reasonably believe is compromised. You must provide accurate information and keep it current.

2.3 Where Recolo is offered

The Services are offered from India to people worldwide, subject to applicable export, sanctions and local laws. You may not use the Services where they are prohibited, and you confirm you are not on any sanctions list.

Chapter 03

Recording other people

Recolo captures what other people say. Those people have rights, and recording without consent is a crime in many places. This chapter is the one we most want you to read.

Asking the other person before recording at a cafe
  • Tell the room, every time. Say Recolo is recording, and stop if anyone would rather you did not.
  • Know your law. Some places need the consent of everyone recorded; some need one party; some ban recording in certain places (courts, clinics, classrooms with minors). You are responsible for following it.
  • We help: the red light on the Dot, the timer on your lock screen, the promise you make before your first recording. These help you comply; they do not comply for you.
  • Not for: recording children who are not yours, people in private moments, confidential proceedings, or anyone who has said no.
  • If a recorded person asks us to remove their words, we will, and we will tell you.

Teachers: do not record a class with minors present without your school's policy and the parents' consent it requires. Doctors: a consultation is confidential; record only with the patient's explicit agreement and your institution's rules. When in doubt, do not record.

Read the full wording

3.1 Your responsibility

You are solely responsible for complying with all laws that apply to recording, storing, transcribing and sharing conversations where you are and where the other participants are, including laws requiring the consent of all parties, laws protecting confidential, privileged, medical, educational or financial information, and workplace and institutional policies. You must obtain any consent the law requires before you start recording and must stop recording when a participant objects or withdraws consent.

3.2 Recolo's tools

Recolo provides a visible recording indicator on the Dot and on the phone, an in-app recording promise you must accept before your first recording, and deletion controls. These tools assist you; they do not satisfy any legal obligation on your behalf.

3.3 Prohibited recording

You must not use Recolo to record anyone covertly where consent is required; to record minors other than your own children in a private setting; to record in places where recording is prohibited; to record for the purpose of harassment, surveillance, blackmail or discrimination; or to record highly sensitive data (such as another person's health, sexual life, religious or political beliefs, or biometric data) without that person's explicit consent.

3.4 Requests from recorded people

Recolo may remove, redact or restrict content on a verified request from a person who appears in it, as described in the Privacy Policy, and may suspend accounts that repeatedly record without consent. You agree to indemnify Recolo for claims arising from your failure to obtain required consents (Chapter 10).

Chapter 04

Your content is yours

Your recordings, transcripts, notes and everything Recolo writes from them belong to you. We hold them only to do what you ask.

A glass vault of notes with its key kept apart
  • You own your recordings and everything derived from them: transcripts, notes, graphs, documents, visuals.
  • You give us permission to store, process and show them back to you. That permission ends for each item when you delete it.
  • Sharing is your call. What you share with another person is theirs to keep, like an email you sent.
  • What you publish is your responsibility. If the Studio drafts a post and you publish it, you are the publisher.
  • Recolo owns Recolo: the apps, the design, the models' prompts and the brand. Feedback you give us we may use freely.
Read the full wording

4.1 Ownership

As between you and Recolo, you own your recordings, attachments and all content derived from them by the Services ("Your Content"). Recolo claims no ownership of Your Content. Content you receive from other users through sharing is subject to their rights and these Terms.

4.2 Licence to Recolo

You grant Recolo a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, transmit, process, analyse and display Your Content solely to provide, secure, support and improve the Services for you and the people you share with, in accordance with the Privacy Policy. This licence ends for each item when you delete it, subject to the short retention periods described in the Privacy Policy. Recolo does not use Your Content to train machine-learning models.

4.3 AI output

To the extent permitted by law, Recolo assigns to you any rights it may have in output generated for you by the Services. Output may be similar to output generated for others; you may not claim exclusivity in such output.

4.4 Sharing and publishing

When you share a note, section or prompt, the recipient receives a copy they may keep and use. When you publish content drafted in the Studio or elsewhere, you are solely responsible for it, including its accuracy and the rights of people named in it.

4.5 Recolo's property

The Services, including software, design, prompts, documentation, trademarks and all improvements, are owned by Recolo or its licensors and are protected by law. We grant you a limited, revocable, non-transferable licence to use the apps on devices you own or control for your own use. You may not copy, modify, reverse engineer, resell or build a competing product from the Services, except as the law allows notwithstanding this restriction. Feedback you provide may be used by Recolo without obligation to you.

Chapter 05

AI can be wrong

Recolo transcribes, summarises, answers and drafts with AI. It is often brilliant and sometimes confidently wrong. You stay the expert.

A doctor checks a floating glass note carefully
  • Check before you act. A transcript can mishear, a summary can miss, an answer can invent. Recolo shows sources; use them.
  • Not advice. Nothing Recolo writes is medical, legal, financial or professional advice, including the wellbeing reading, which is not a diagnosis.
  • Not for emergencies or safety decisions. Do not rely on Recolo when a mistake could hurt someone.
  • Your judgement, your responsibility. What you do with an answer is your decision.
Read the full wording

5.1 Nature of AI output

The Services use third-party machine-learning models to transcribe audio, extract information, answer questions, propose ideas, read tone and wellbeing, and draft text and images. Output is generated statistically and may be inaccurate, incomplete, misattributed, biased or inappropriate. You must evaluate output for accuracy and suitability before relying on it.

5.2 No professional advice

Output is not and should not be treated as medical, psychological, legal, financial, tax, educational or other professional advice, and does not create a professional relationship. The wellbeing reading reflects patterns in your own transcripts and is not a clinical assessment. If you are in crisis, contact local emergency services.

5.3 Not for high-risk use

Do not use the Services where failure could lead to death, personal injury, or severe physical, environmental, financial or legal harm, or as the sole basis for decisions that produce legal or similarly significant effects on a person.

Chapter 06

The Recolo Dot

A small wearable microphone that talks to your phone over Bluetooth. Here is what it is, what it is not, and how we stand behind it.

The Recolo Dot: a slim black recorder with the Recolo starburst and a loop for its cord
  • What it is: a Bluetooth recorder with a button, a red light and a small memory. It needs the Recolo app and a plan to be useful.
  • What it is not: waterproof, a medical or safety device, or a toy for children. Keep it dry and out of small hands.
  • One phone at a time. A Dot pairs with one phone until you release it in the app.
  • Twelve-month warranty against defects in materials and workmanship, from the day you receive it. Drops, water and opened cases are not covered.
  • Updates: the app may update the Dot's firmware to fix problems or improve it. You can decline an update, but some features may then stop working.
  • Early hardware. The Dot is a young product. We fix what breaks, replace what we cannot fix, and tell you plainly when something is a known limit.

6.1 The product

The Recolo Dot is a Bluetooth Low Energy wearable recorder that stores compressed audio in its memory until the paired Recolo app retrieves it. It has no Wi-Fi or cellular connection and no function without the app. Specifications, battery life and memory capacity are approximate and may vary with use and firmware.

6.2 Safe use

The Dot contains a lithium battery. Do not expose it to water, heat, fire or crushing; charge only with the supplied or an equivalent USB-C source; stop using it if it becomes hot, swollen or damaged. It is not a medical device, a safety device, a hearing aid or a toy, and is not for children under 14. Dispose of it according to local electronic-waste rules.

6.3 Pairing, firmware and compatibility

A Dot is claimed by one phone at a time and may be released in the app. Recolo may release firmware updates delivered through the app; some updates may be required for continued security or compatibility. Recolo may end support for a Dot model with at least 12 months' notice, after which cloud features that depend on the app may stop working.

6.4 Limited warranty

Recolo warrants the Dot against defects in materials and workmanship for 12 months from delivery. If a defect appears, contact us; we will repair, replace or, if we cannot do either, refund the price you paid. The warranty does not cover damage from accident, misuse, liquids, unauthorised repair or modification, normal wear, or battery capacity loss from ordinary use. Your statutory rights as a consumer are not affected. The warranty is in addition to, and does not replace, any rights under the Consumer Protection Act, 2019 (India) or equivalent law where you live.

6.5 Returns

You may return an unused Dot in its original packaging within 14 days of delivery for a full refund of the price paid, less return shipping unless the return is due to our error.

Chapter 07

Plans, credits and payments

Recolo measures what it does for you in credits. You pay for a plan that includes a monthly allowance. Here is how renewals, cancellation and refunds work.

Glass coins beside a calendar page with one highlighted day and a refresh arrow
  • Credits measure the work Recolo does: transcribing, answering, making things. Each month's credits last two months, so unused ones carry over once.
  • Plans renew monthly until you cancel. Cancel any time in the dashboard; you keep access to the end of the period you paid for.
  • Prices are shown for your region before you pay, including taxes where we must charge them. If a price changes we tell you at least 30 days ahead.
  • Refunds: if you cancel within 7 days of your first payment and have used no credits, we refund in full. Otherwise fees are non-refundable except where the law says so.
  • Payments are handled by Razorpay. We never see your card number.
Read the full wording

7.1 Credits

Features that use AI consume credits as shown in the app before or as they run. Credits are a unit of measure for the Services, have no cash value, cannot be transferred or exchanged, and expire two months after they are granted. Recolo may adjust the credit cost of a feature with notice in the app.

7.2 Subscriptions

Paid plans are billed in advance and renew automatically for the same period until cancelled. You may cancel at any time from your account; cancellation takes effect at the end of the current billing period, and you keep access until then. Free trials, if offered, convert to a paid plan at the end of the trial unless cancelled before. Prices shown include applicable taxes where we are required to collect them; where we are not, you are responsible for them.

7.3 Price changes

We may change prices with at least 30 days' notice by email or in the app. A change applies from your next renewal after the notice period; if you do not agree, cancel before then.

7.4 Refunds

If you cancel within 7 days of your first payment for a plan and have used no credits, we refund the payment in full. Otherwise, fees are non-refundable except as required by law or expressly stated in these Terms. Nothing here limits your statutory rights as a consumer.

7.5 Payments and failed payments

Payments are processed by Razorpay under its terms. If a renewal payment fails we will retry and notify you; if it still fails, the plan pauses and the account returns to the free allowance until payment succeeds.

7.6 App stores

If you buy through Apple's App Store or Google Play, their billing, refund and cancellation terms apply to that purchase, and Apple or Google (not Recolo) is responsible for processing refunds you request through them.

Chapter 08

Fair use

What we promise you, and what we ask of you in return.

A balanced glass scale with a heart on one pan and a shield on the other

We promise

  • To keep your data as the privacy policy says, and to change that policy only with notice.
  • To keep Recolo running and to tell you when it is not.
  • To tell you plainly what works, what is in beta and what is still being built.
  • To answer you. A real person reads contact@recolomind.ai.
  • To let you leave with your data, any time, with no penalty.

We ask you not to

  • Record anyone without the consent the law requires, or use Recolo to surveil, harass or discriminate.
  • Upload content you have no right to, or that is unlawful, abusive or infringing.
  • Try to break in, probe or overload the service, or bypass credits, limits or security.
  • Reverse engineer, scrape, resell or build a competing product from Recolo.
  • Share your account, impersonate anyone, or use Recolo for anything illegal.
Read the full wording

8.1 Acceptable use

You agree not to use the Services: in breach of any law or the rights of others; to record, store or share content without required consents; to upload malicious code or content that is unlawful, defamatory, harassing, hateful, sexually explicit involving minors, or infringing; to access or attempt to access accounts, systems or data without authorisation; to interfere with, overload or disrupt the Services; to circumvent limits, credits, security or access controls; to scrape, harvest or bulk-download content other than your own; to reverse engineer, decompile or derive source code from the Services except as the law permits; to resell, sublicense or offer the Services to third parties; to develop a competing product using the Services; or to misrepresent your identity or affiliation.

8.2 Beta features

Features labelled beta, preview, experimental or similar are provided for evaluation, may be incomplete or change without notice, and may be withdrawn. Use them at your own discretion.

8.3 Enforcement

We may remove content, limit features or suspend or terminate accounts that breach these Terms, with notice where practicable. We will cooperate with lawful requests from authorities as described in the Privacy Policy.

Chapter 09

Changes and endings

Recolo will change. These terms may change. You may leave. Here is how each happens.

Notes falling into a bin and dissolving
  • We improve Recolo constantly. Features may change or be retired; for anything that matters we give notice.
  • These terms may change. We post the new date here; for material changes we tell you 30 days ahead in the app or by email.
  • You may leave any time by deleting your account. Your data goes with you (Privacy, Chapter 11).
  • We may close an account that breaks these terms, harms others or is used for recording without consent, with notice where we can.
Read the full wording

9.1 Changes to the Services

We may add, modify or discontinue features or the Services at any time. For a change that materially reduces core functionality you have paid for, we will give at least 30 days' notice and, if you cancel because of it, refund the unused portion of your current billing period.

9.2 Changes to these Terms

We may update these Terms. The updated Terms will be posted at recolomind.ai/terms with a new "In effect from" date. For material changes we will notify you at least 30 days in advance through the Services or by email. Continued use after the effective date constitutes acceptance; if you do not agree, stop using the Services and delete your account.

9.3 Termination by you

You may stop using the Services and delete your account at any time from the app. Deletion is immediate and irreversible, as described in the Privacy Policy. Prepaid fees are handled as in Chapter 07.

9.4 Termination by Recolo

We may suspend or terminate your access if you materially breach these Terms, if required by law, if your use creates risk or legal exposure for us or others, or if we discontinue the Services. Where practicable we will give notice and an opportunity to export your data. Chapters 03, 04.5, 05, 10 and any provision that by its nature should survive, survive termination.

9.5 Availability

We aim for the Services to be available at all times but do not guarantee uninterrupted or error-free operation. Scheduled maintenance will be announced where possible.

Chapter 10

The legal part

Warranties, limits of liability, indemnity, governing law and how disputes are resolved. Written as plainly as the law allows.

A glass world map
  • Recolo is provided as it is. We do not promise it is perfect, uninterrupted or that AI output is accurate.
  • Our liability is limited to what you paid us in the 12 months before a claim, or ₹5,000 if you paid nothing, except where the law does not allow that limit.
  • You cover us for claims that arise from your breaking these terms, especially recording without consent.
  • Indian law applies and disputes go to the courts of Bengaluru, India. Consumers keep the protections of their own country's law.

10.1 Disclaimers

To the fullest extent permitted by law, the Services, the Dot's software, beta features and all output are provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, non-infringement, accuracy or uninterrupted operation. Recolo does not warrant that output will be accurate, complete or reliable. Some jurisdictions do not allow the exclusion of implied warranties, in which case they are limited to the shortest period the law allows. Nothing in these Terms excludes the statutory rights of consumers that cannot be excluded.

10.2 Limitation of liability

To the fullest extent permitted by law, Recolo and its founders, employees and suppliers will not be liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for loss of profits, revenue, data, goodwill or business opportunity, arising from or related to the Services or these Terms, however caused and under any theory of liability, even if advised of the possibility. Recolo's total aggregate liability for all claims arising out of or relating to the Services or these Terms is limited to the greater of the amounts you paid Recolo in the 12 months before the event giving rise to the claim and ₹5,000 (or its equivalent). These limits do not apply to liability that cannot be limited by law, including liability for death or personal injury caused by negligence, fraud, or gross negligence or wilful misconduct.

10.3 Indemnification

You will defend, indemnify and hold harmless Recolo and its founders, employees and suppliers from claims, damages, losses and expenses (including reasonable legal fees) arising from Your Content, your use of the Services, your breach of these Terms, your violation of law or the rights of others, or your failure to obtain consents required for recording.

10.4 Governing law and disputes

These Terms are governed by the laws of India, without regard to conflict-of-law rules. Subject to the next sentence, the courts at Bengaluru, Karnataka, India have exclusive jurisdiction over disputes arising from these Terms or the Services. If you are a consumer, you also keep the benefit of any mandatory consumer-protection law and forum of the country where you habitually reside, including the consumer forums established under the Consumer Protection Act, 2019 in India. Before starting proceedings, you and we agree to try to resolve the dispute informally by writing to contact@recolomind.ai and allowing 30 days for a response.

10.5 App stores

If you downloaded an app from Apple's App Store: these Terms are between you and Recolo, not Apple; Apple has no obligation to provide maintenance or support; Apple is not responsible for any claims relating to the app or your possession or use of it, including product liability, legal or regulatory compliance and intellectual property claims; Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you; and you must comply with the App Store terms. Equivalent provisions apply to Google Play.

10.6 General

These Terms and the Privacy Policy are the entire agreement between you and Recolo about the Services. If a provision is held unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms; we may assign them to a successor in a merger, acquisition or sale of assets, subject to the Privacy Policy. Notices to you may be given in the app or to your account email; notices to us go to contact@recolomind.ai. Nothing in these Terms creates a partnership, agency or employment relationship.
